The template file is designed to be editable in:
- Microsoft Word
- Google Docs
- Apple Pages
- LibreOffice Writer
Before you start
Please make a copy of the Template file before editing. Here is how to make a copy of it.
In Microsoft Word & in Word for Mac
- Open the Template file.
- Click
File → Save As. - Save a new copy with your preferred file name.
- Begin editing your copy.
In Google Docs
- Click
Start a new document, then clickFile → Open. - Click
Uploadto upload your Template file to Google Docs. - Click
File → Make a copy. - Begin editing your copy.
In Apple Pages
- Open the Template file in Pages.
- Save a duplicate copy.
- Begin editing your copy.
What to edit
Replace all placeholders. The placeholders are all text that is red color and in square brackets. Here are some examples of the placeholders that you need to replace:
[TENANT'S NAME]PROPERTY STREET ADDRESS][PROPERTY CITY, STATE, ZIP CODE][LANDLORD’S NAME][TODAY’S DATE][AMOUNT OWED][PROPERTY CITY][DAY OF DEADLINE DATE][MONTH OF DEADLINE DATE][YEAR OF DEADLINE DATE][LANDLORD’S STREET ADDRESS][LANDLORD’S CITY, STATE, ZIP CODE][LANDLORD’S PHONE NUMBER]
So, if text is shown in red, replace that with your own information.
When you replace a placeholder with your own information, it’s okay that your new text is still red. Let it stay red until you’ve replaced all the placeholders. This way, you can easily see which placeholders you have already replaced and which ones you still need to replace.
Once you’ve replaced all the placeholders, you can change the color of all the text to black in one click. To change the color of all the text to black, select all the text by pressing Ctrl + A (or Command + A on Mac), then click the “A” icon in the toolbar, and then choose black as the font color.
After you finish editing, save your file.

Note about compatibility
This file is provided as a .docx so it can be used across multiple platforms. Because Microsoft Word, Google Docs, Apple Pages, and LibreOffice Writer handle formatting a little differently, small spacing or font changes may occur depending on the app you use.
Tip: after editing your file, check alignment and spacing to make sure it looks nice.
